Executive Assistant

We’re looking for a proactive and organised individual to fill the (rather large) boots of Executive/Personal Assistant to our two Founding Partners. Arguably one of the most important roles in any business, As Executive/Personal Assistant, you’ll be at the heart of our operations, ensuring smooth sailing for our directors and contributing to the success of our projects and business.

The successful candidate will sit within our broader Admin/Operations Team, who work BTS to ensure our team and projects run like a well-oiled machine. As EA/PA, you’ll be the gatekeeper for our founding directors, managing queries and calls with finesse. You’ll be the wizard behind the curtain, orchestrating calendar management, fostering relationships with clients and colleagues, and ensuring the directors have everything they need for seamless meetings. Your role is pivotal in keeping the wheels turning smoothly for our dynamic, creative team.

Key responsibilities

Booking internal and external meetings for our visionary directors.
Providing occasional project administration support.
Mastering email management, passing on project matters efficiently, and maintaining organized filing systems.
Coordinating conference calls and digital meeting setups like a pro.
Handling paperwork and filing with precision.
Making travel arrangements for directors and team members.
Tackling personal, sometimes sensitive errands/tasks with the utmost discretion.
Offering general office support to our Admin team.
Assisting the Marketing & Communications Manager with maintaining our contact base and business development.

Desired skills/attributes

Minimum 5 years experience in a similar role (creative or property industry experience preferred).
Demonstrated proficiency in the responsibilities listed above.
Proactive and enthusiastic mindset with a hunger to learn and contribute.
Excellent knowledge of Microsoft Office.
Stellar written and verbal communication skills.
Well-presented and friendly demeanour.
Flexibility and adaptability in a fast-paced environment.
Experience in handling sensitive information with absolute discretion.
Outstanding organisational skills.
