Operations Manager
Our incredible Operations Manager is going on Maternity Leave, so we’re seeking an experienced Operations Manager to fill her boots for an 18-month period. The ideal candidate will be dedicated and detail-oriented, with a minimum of 5-years experience in similar Administrational roles, preferably in the architecture and design industry.
This strategic position is pivotal to the forecasting and internal delivery of architectural and interior design projects, with a strong focus on financial oversight and project profitability. The successful candidate will be an effective problem solver, comfortable acting as a liaison between various stakeholders, and capable of clear and concise communication. A self-motivated individual who thrives when working autonomously and has a strategic mindset will excel in this position.
Please note: this is an 18-month Maternity Leave Cover Contract, with possibility to evolve into an ongoing position.
Key Responsibilities:
Provide resourcing and support for project architects and team leads, with a focus on project budgets and profitability rather than HR or task management.
Oversee forecasting and assist project architects/designers with all active projects, ensuring financial targets are met.
Support the team with invoicing, oversee invoicing targets, and report to the senior management team.
Ensure the efficient operation of the office by implementing and improving best practice methods, focusing on processes and business improvement.
Assist project architects and team leads with project-related administration, fee setting, and maintenance.
Desired skills / attributes:
Exceptional written and verbal communication skills.
A minimum of 5 years of relevant experience in Administration, preferably in a design or professional services environment.
Experience working with larger teams and the ability to manage the demands of a growing team, potentially up to 100 members.
Proficiency in the following software: Xero (or other accounting software); Total Synergy (or other project management software); Excel (intermediate skills, including confidence with formulas and linking sheets)
Highly organised with excellent attention to detail.
Ability to work independently and as part of the wider administrative team.
Strong collaborative skills, comfortable working with diverse groups within the business.
Trusted to handle sensitive and confidential information with absolute discretion.
Ability to manage competing deadlines calmly and professionally.
A proactive, no-fuss approach to work, ready to assist wherever needed.
A positive attitude towards work and colleagues.
Experience as part of a senior management group, contributing to strategic thinking and implementation.
Ability to build rapport quickly with a young, fast-paced, and agile team, ensuring a strong cultural fit.
